Options for Contact Filters: How to contact
When setting up contact filters you have the option of using legacy fields, the 1:1 fields that come with PowerSchool and old custom fields, or you can use the new contacts module. Contacts allows you to have unlimited numbers of phones and emails per contact so after you've decided which contacts to use you then need to decide which phone and emails to use for each contact. There are several options:
- Exclude legacy home_phone: Use this if you don't want to also include home_phone in your contacts. Some schools chose to use home_phone + contacts while most don't.
- Which phones should be used?: Choose which phones you want used per contact. Options are:
- No Phones: Don't send any phones from contacts
- All Phones: Send any phone attached to the selected contact
- Home Phones: Only phones that are labeled Home
- Will be moved to Only include specific phone type in a future update
- Mobile Phones: Only phones that are labeled Mobile
- Will be moved to Only include specific phone type in a future update
- Home and Mobile: Only phones that are home or mobile, no other labels will be included
- Non Daytime/Work phones: All phones that not Daytime and not Work, will include phone types that are custom or blank
- Non Work phones: All phones that are not Work (for schools who have repurposed Daytime to mean "yes, call this work phone")
- Will be moved to Include all EXCEPT specific phone type in a future update
- Preferred Phones: All phones that have the preferred box checked
- SMS Phones: All phones that have the SMS box checked
NOTE: Checking the SMS box in PowerSchool does not constitute an "Opt-In" for text messaging - First phone (any type) per contact: No matter how many phones a contact has only use the top 1. Since you can reorder the phones in the record this allows you to prioritize what phones we use
- First 2 phones (any type) per contact: No matter how many phones a contact has only use the top 2. Since you can reorder the phones in the record this allows you to prioritize what phones we use
- First 3 phones (any type) per contact: No matter how many phones a contact has only use the top 3. Since you can reorder the phones in the record this allows you to prioritize what phones we use
- Only include specific phone type: Only include phones that have a specific label. All others will be excluded
- The Include phone type from results option will appear and must be filled in
- Include all EXCEPT specific phone type: Include all phones whose label doesn't match the exception
- The Exclude phone type from results option will appear and must be filled in
- When phone1 is blank use home_phone: Use to make sure phone1 is always populated with something
- Include phone type from results: If there is only one valid label to use then declare it here. This allows for declaring custom labels as well as the stock ones.

- Exclude phone type from results: If there is a specific phone type to exclude always select it here

- Which emails should be used?: Each contact has multiple places for emails and can have as many emails as you want to enter. You can choose which to use here
- Primary: Only 1 email per contact can be flagged as primary. When Primary is selected this is the email that will be used
- Secondary: All other emails that are not marked as primary in the email section of a contact record. Secondary is our term meaning not-primary
- Portal Emails: This is the email the parent signed up with. Useful as it has to be verified for a working parent account.
- Only include specific email type: Only include emails that have a specific label. All others will be excluded
- The Include email type from results option will appear and must be filled in
- Include all EXCEPT specific email type: Include all phones whose label doesn't match the exception
- The Exclude email type from results option will appear and must be filled in
- Include email type from results: If there is a specific email type to exclude always select it here
- only shows when Which emails should be used is set to Only include specific email type
- portal emails will still be included as they do not have labels
