Deciding which multi-day attendance export to use

Multi-day attendance exports are used to report attendance after it's happened multiple times. Sometimes referred to as 5 or 10 day attendance letters, these attendance exports can happen many different ways. After a student reaches a certain required number of days a message can be sent informing students, parents or both of the milestone and any consequences. Exports are set up at district office and the same file can be used to import to many different buildings if needed.

My Teachers only take daily attendance

Actually your teachers DON'T take daily attendance, they take meeting attendance once per day. Daily attendance refers to a specific type of attendance and teachers can't enter it from PowerTeacher. If the teachers are entering the attendance it's meeting attendance, even if it only happens once per day.

Step 1: Meeting or Daily attendance

Before you can even start to set up a multi-day attendance export you must first determine if it's meeting or daily attendance. These terms refer to how the data is stored in PowerSchool, not the frequency. If teachers take attendance 1 time per day that's still meeting attendance because the teachers take it in PowerTeacher. PowerTeacher can not take daily attendance. For this reason most attendance that people refer to as daily attendance is actually meeting attendance.

Step 2 Daily: How to count

If daily attendance is what should be used then the next step is to choose how to calculate the count, how do we get to 10 absences using daily. May seem simple but since different schools do things in different ways there are several options.

  • BrightArrow Attendance Code to Day Cumulative Abs:
    Convert daily attendance using the school's code to day conversion scale. Reset count each year, trimester, semester, or quarter
  • BrightArrow Attendance Daily Frequency by Code:
    Frequency of a specific code recorded as daily attendance. This counts how many time that code has occurred in the past. Reset count each year, trimester, semester, or quarter
    • ex: Send a message any time 10 AUs occur in a single semester
  • BrightArrow Attendance Daily Frequency by Presence Status:
    Frequency of a presence status recorded as daily attendance. This counts how many times any code marked as an absence code has occurred. Reset count each year, trimester, semester, or quarter
    • ex: Send a message any time any 10 absences occurs. Could be 5 AU, 3 AE, 1 AS, 1 A. Start over when the quarter changes.
  • BrightArrow Attendance Daily Frequency by Code Category:
    Frequency of a code category recorded as daily attendance. This counts how many times any code marked as a specific code category has occurred. New code categories for this purpose are created so that you can add/remove a code from counting any time you need to. Reset count each year, trimester, semester, or quarter
    • ex: There are 8 codes with a presences status of Absent but only 3 should count toward the letters, A, AU, AE.

Step 2 Meeting: How to count

If  meeting attendance is what should be used then the next step is to choose how to calculate the count, how do we get to 10 absences using meeting. There are many ways to do this.

  • BrightArrow Attendance Period to Day Cumulative Abs:
    Convert period attendance using the school's period to day conversion scale. Reset count each year, trimester, semester, or quarter
  • BrightArrow Attendance Meeting Frequency by Code:
    Frequency of a specific code recorded as period attendance for once section. This counts how many time that code has occurred by section. Reset count each year, trimester, semester, or quarter
    • ex: Send a message any time there are 10 AU in any class. Reset each semester so even year long classes can start over.
  • BrightArrow Attendance Meeting Frequency by Code All Sections:
    Frequency of a specific code recorded as period attendance for all sections. This counts how many time that code has occurred regardless of which section it was in. Reset count each year, trimester, semester, or quarter
    • ex: Send a message any time there are 10 AU for all classes. 5 AUs in math, 3 AUs in science, 1 AU in english, 1 AU in social studies counts as 10.
  • BrightArrow Attendance Meeting Frequency by Presence Status:
    Frequency of a presence status recorded as period attendance for one section. This counts how many times any code marked as an absence code has occurred by section. Reset count each year, trimester, semester, or quarter
    • ex: Send a message any time any 10 absences occurs in a single section. Could be 5 AU, 3 AE, 1 AS, 1 A. Start over when the quarter changes.
  • BrightArrow Attendance Meeting Frequency by Code Category:
    Frequency of a code category recorded as period attendance for once section. This counts how many times any code marked as a specific code category has occurred by section. New code categories for this purpose are created so that you can add/remove a code from counting any time you need to. Reset count each year, trimester, semester, or quarter
    • ex: There are 8 codes with a presences status of Absent but only 3 should count toward the letters, A, AU, AE. Send a message any time a student receives a total of 10 absences where the codes are A, AU, AE. 
  • BrightArrow Attendance Meeting Frequency by Code Category All Sections:
    Frequency of a code category recorded as period attendance for all sections. This counts how many times any code marked as a specific code category has occurred regardless of which section it was in. New code categories for this purpose are created so that you can add/remove a code from counting any time you need to. Reset count each year, trimester, semester, or quarter
