Converting schools from MBA to BrightArrow

For schools who come to BrightArrow having first used one of MBA's plugins such as Report Creator your account and schools will have been made by the MBA plugin. However they aren't made in a way that we can use and will need to be changed. Changing them isn't hard, but if you have a lot of schools on your server it may take a few minutes to do.

Steps to convert MBA schools to full BrightArrow system schools

  1. [Tab B] Click on the BrightArrow Home link in PowerSchool
    1. For future reference we'll refer to this as [Tab B] for BrightArrow
  2. [Tab B] If you have access to make these changes you'll see a button called "User Accounts", click on that. If you do not see that then you can not proceed with your account.
  3. [Tab S] In a separate tab or window open the schools page
    [yourpowerschoolserver]/admin/schools/home.html
    1. It may be useful to put this in a separate browser window so you can drag it to another screen so you can have both visible at the same time
    2. For future reference we'll refer to this as [Tab S] for Schools
  4. [Tab S] Click on the first school in the list. This will drill into the school information
  5. [Tab B] In the original tab you should see the main account and the other schools that have been created for you by the MBA plugins. The top one is the district group, leave that one alone.
  6. [Tab B] Click on the record of the same school you had from step 4. You do not need to click directly on the pencil, clicking anywhere in that row except the trash bin will drill into the record
  7. [Tab B] Edit the following fields
    1. Group Login Name: This will be [something]_[schoolabbreviation]. The [something] has to be consistent for all your schools. There should be no spaces before the _. Make sure to copy the school abbreviation from abbreviation cell in [Tab S] so that it matches exactly
      1. school_1_314159@mba-link.com -> MidvaleTX_MS4tG
    2. Outbound Caller ID: This will be the default caller ID used for lists from this school. Copy the School Phone Number from [Tab S]. If there isn't one enter the district main line
    3. Email Addresses for Messages (optional): If you have a default email address you want to use with this school enter it in the box
    4. PowerSchool user name: If you see this field then clear it. If not let support know when you're done so they can clear it. This field MUST be cleared as MBA uses school_number and we use the person's DCID in the same field. Leaving it may cause an issue if a person's DCID matches a school's number.
  8. [Tab B] At the bottom click OK to submit the changes
  9. [Tab S] Navigate back 1 to show the school list again
  10. Repeat steps 4 - 9 with each school until you have all the schools in
    1. MBA's plugins don't always create all the schools, if any are missing you can click the add button to add a new one
    2. MBA's plugins often create the District school (which is unnecessary since the main account represents District). If you are missing a school but DO was created you can repurpose it for your missing school or delete it.
    3. MBA's plugins sometimes create the Graduated school. If this has happened you can re-appropriate it for a missing school or delete it.

I'm a single school, do I need to have a separate school set up for me?

No. Since the district and the school are the same then the district account can take the place of the school group. Let support know the school abbreviation of the single school and let them know you want the District and the school to be the same and they'll make sure that is done for you.
