How do I see who has access within PowerSchool?

Users who have accounts set up can send message right from within PowerSchool. Now that we can automatically add users for you there needed to be a way to enable or disable users within PowerSchool. This is what Permission by Person is for. With this feature enabled only users who are marked enabled can see the system while in PowerSchool.

Is Permission by Person Enabled?

You can see if it is enabled by going to System > BrightArrow Settings. Permission by Person is the last option

- Enabled: While in that building only users who are marked enabled will see BrightArrow options
- Disabled: While in that building anyone can see the BrightArrow options
Remember that just because they can see BrightArrow doesn't mean they have access, they still need an account set up.

What are the options for each individual user?

Each user can be set to either Enabled or Disabled. Users who have access to PowerSchool AND PowerTeacher have 2 more options.

How can I see who has access?

If you just want to check one person you can do that by going to their staff record and clicking the BrightArrow link. The tab labeled "BrightArrow Permissions" will show you the current status and allow you to change it.

If you want to see everyone at once, however, you can do this from the BrightArrow Settings page.

  1. Navigate to System > BrightArrow Settings
  2. Click on the Individual Settings tab
  3. By default the page will show you all staff records. You can reduce the list by using the filters at the top. 
    1. Staff to Display: Show all, only enabled, only disabled, users set to Admin Only, users set to Teacher Only.
    2. Home School: Filter down to just users from a specific home school.
    3. Recommended Access: Show users based on the recommended access that will be used when automatically creating users. Options are
      1. Any: show all rows
      2. None: recommendation is no access
      3. Teacher: no access to the admin portal but has access to teacher portal so recommendation is to make the user a teacher account
      4. District: User has access to admin portal AND can switch to district office. Recommendation is to put the user in the district group
      5. School specific to your server: User has access to admin portal but can not switch to District Office. Recommendation is to put them in the users home school group
    4. Default Group: Reduce the list to only show users who are in a certain group. Useful when trying to turn on specific groups of users like all of the group 9 users.
    5. Auto Creation Problem: Show only users who have or don't have a problem that would prevent their user from automatically being generated. Options are 
      1. All: show all rows
      2. Any Problem: show rows where at least 1 problem exists
      3. No Problem: show rows where no problem exists, script will generate this account
      4. Missing Email: shows rows where accounts will not be generated because no email is set
      5. No Admin or Teacher Access: shows rows where accounts will not be generated because the user can't log into PowerSchool anyways

Notes:

  1. Not all schools are set up to automatically generate accounts. If you are unsure submit a support request and we will find out
  2. If an account already exists it will not be moved automatically. If you've put users in a specific location the recommendation will not override that.

What happens if an account exists with BrightArrow but the user is not enabled in PowerSchool?

Turning a user off in PowerSchool does not delete their account. If the user has previously accessed the system outside of PowerSchool they'll still be able to that until their account with us is disabled. If they know their username and password they can still use it until other steps are taken.

If I disable them in PowerSchool can they still use the mobile app?

Yes as long as their account with us is still enabled and as long as they know their login credentials.

If you automatically generate accounts do users still need to manually log in the first time?

No. The auto-generated accounts will automatically be linked to their PowerSchool user and single sign on established.
