How to send non-PowerSchool reports from a dedicated account
Sending reports via email is a great time and money saver. Sometimes your reports can't be sent using the buttons that our plugins add into PowerSchool. Maybe your reports are from outside PowerSchool or they are not from a PowerSchool source we have a button for. In these cases you'll want to upload to your sFTP folder and send from there. Sending reports many different ways can have a negative toll if the settings need to be changed each time. For example if you send MBA reports a setting is used that is not compatible with sending non-PowerSchool reports and we can toggle that for you. Alternately we can set up a new user for you that is only to send these reports, unaffected by what you do in PowerSchool.
Sending Reports from a Non-PowerSchool account
Once your separate account is set up you need to be able to log in as it to send. Using lists that belong to that user is not enough as the sending permissions are tied to the user you are logged in as, not to the list owner. Because of this you'll want to log in outside of PowerSchool to send.
- In a separate browser from where you are currently logged into PowerSchool OR using an Incognito window navigate to https://target.brightarrow.com
- Log in using the separate account's username and password.
- Upload the report to the sFTP site in the ReportsToEmail folder. Directions for uploading to sFTP
- Send an email from any of the report emailing lists the sFTP user has access to
- Remember that even though you are emailing a report you still need an accompanying message
- Once the reports have been sent remove the files from the ReportsToEmail folder
- You can archive these if you want, maybe make a subfolder indicating what the report job was and put all the files in there after you are done. Make sure this folder is not in the ReportsToEmail folder
Why do I need to clear the ReportsToEmail folder?
The ReportsToEmail folder can still be used by the non-dedicated users who can see it (i.e. district group users). When you send a report the system first looks in that folder and if it doesn't find anything then goes to the reports you may have sent using the buttons in PowerSchool. If you leave the reports in the folder they'll be used the next time someone tries to send a PowerSchool report.
Can the ReportsToEmail folder only work for the dedicated user?
Yes. This is a great way to keep things separate. If you'd like us to alter your setup so only this special user can send report using that folder let us know and we'll alter that. Then your other users will not accidentally send any reports that remain in the folder.
This also allows other users to send PowerSchool reports from other lists at the same time you are sending from the ReportsToEmail folder. Otherwise they would need to wait for the other reports to be done.
Can I still see the BrightArrow report on who a message was sent to?
Yes. Reports will show up while logged in as the sFTP user but will also show for anyone who logs into the district group since that group can see activity from all accounts.
