How does the filter override work?
Beginning in Base 2 version 9.1.0 there is an option to use a filter override field to mark contacts that don't meet the normal filter requirements but should be included anyways. A way to include the exceptions to the rule. The field will show up in contacts but will only be used within the exports if you say to include the overridden contacts in results.
How do I turn on/off the ability to use overrides?
- Go to System > BrightArrow Settings
- Click on Filters in the district row (if you are on a shared server click filters on the row for your school)
- The Who to Contact section contains the filters to use to only select the contacts that meet the requirements you specify. At the bottom of that list is an option called Allow Filter Override.
- Do Not Use: Even if the override option is selected in the contact it will not be used in consideration for this filter
- Include in Filter: If the override option is selected the contact will be included even if they do not meet the other filter requirements.
Ex: Normal filter rules for your school are Lives with OR Custody has to be checked to be included. However Alfred doesn't actually have custody of Selina but you want to keep him informed on information pertaining to her anyways. Alfred doesn't have custody and Selina doesn't live with him so normally he wouldn't be included based on the normal rules. For him we need an exception and the override provides that.
Which options can use the overrides?
You can allow or deny overrides for your default filter and for your alternate filter. At this time there is no override for the student filter even if you are getting student information from contacts.
How do we enter overrides?
Overrides are on a per relationship basis. Overriding a contact for one student does not automatically override them for all the students that contact is linked to.
- Go to the student in question
- Go to the contacts page
- On the right there is a column for message overrides. If there is a check in the box then the override has been checked for this relationship, if not then it has not been selected for override
- Click on the pencil to make an edit of the relationship
- Check or uncheck the box to use even if the filter settings say not to
- Save
If you want to override a contact for all students they are linked to you can click on the name of that contact which will open the contact information in a new tab. Then perform the same tasks for each student linked.
