How does the school year change affect my lists?

Schools have data that has large updates all at once each year when the school year rolls over from one to the next. What does this mean for your lists?

Will my sync lists have new data?

Yes. Your student system will transfer the data as it is in that moment. So if yesterday was 2021-2022 school year and your system's process to convert to 2022-2023 school year has happened then the current data is that each student is in their new school and new grade for the upcoming year. This data will be transferred to your sync list and you'll be able to use it with the changes for the new school year.

Will my linked lists need to be redone?

No. Linked lists work on the data from their source list(s). If your Grade 5 list comes from the  All Parents (sync) list then when the All Parents list gets data that says Susie is now in 6th grade she'll be removed from that grade 5 list and Johny who was in Grade 4 last year will be moved into the grade 5 list. 

What is the process to get next year's data in?

That depends on your SIS. Some SIS's only keep 1 current set of data and there is a roll over process that triggers the move from one year to the next. For these systems after you perform that roll over process the data will be updated the next time it syncs.

Other SISs keep multiple years of data in the same place. For these system we need to tell it to stop using one year and start using the next. This is generally a manual process on our end. You tell us you need want to use the next year's data and we change the syncs to use that data instead of the past data. After a certain time in the summer we will force everyone to the next school year if we haven't heard from you. This is generally in July since schools start coming back the first week in August in some areas.

Does my system automatically change or do I need to tell you to change it?

If your system sends us data using sFTP such as PowerSchool or Sapphire then the change has to happen on your end. 

If we are getting data using the TargetOnSite service it is likely we will need to change something to switch to the following year.

If we are getting data using your system's API it is likely, but not always, automatic.
