Getting to Data Export Manager (DEM)

Exports are set up in Data Export Manager (DEM) and use PowerQueries to format the data before exporting it so that it is ready for us. DEM is a lot more powerful than AutoSend and if the PowerQuery is made correctly it's more accurate than AutoSend as well.

Side note: did you know AutoSend doesn't send today's attendance, it sends attendance edited today so if your attendance person pre-marked students as absent because they went on some trip it will send on the day it was changed, not the day the attendance is for

There are times you may want to go and check on your exports or force send a new copy now. Maybe you have a two-hour delay and you want to send the attendance again 2 hours after it's normally scheduled time. Or maybe you're setting up a new export. Directions on specific exports will be separate, but here is how to get to DEM and what is in each tab.

To get to DEM

  1. Switch to District Office (PSU for NC schools) if you are not already there
  2. Click Importing and Exporting from the left menu
  3. Click Data Export Manager at the bottom of the page

What are the 3 tabs?

The Export tab is where you setup/view your export templates. Here you tell it where the data is coming from, what fields to use and in what order, which records to export (you get to filter however you want, not all records like AutoSend), and what the export filename, type should be.

The My Templates tab contains all of your saved templates. You'll need to save a template in order to schedule it but you can schedule the same template over and over again. Remember when we'd set up a new autosend for every school? No more, now you can set up district attendance extracts and then just schedule them for different times of the day from the same template. However your templates can not be shared with others. We are hopeful that some day PowerSchool will allow us to share our templates with others so that more than 1 person can manage a template at a time.

The Scheduled System Templates tab contains a copy of the source template and it's schedule for export. It's important to note that editing the template in My Templates doesn't update the scheduled version. The schedule only applies to the templates scheduled to export from the school you're currently in. We always schedule our exports out of District Office to make it easier to find what you're looking for no matter what school is looking. It also allows for exporting data from all schools at once or only 1 thanks to the template filters.If you don't see the Schedule tab you don't have permission to do that.
