What access does BrightArrow need to manage the plugins

We realize that security is a big deal and do not want you to feel nervous about allowing us to log into your PowerSchool account. For those of you who are willing to grant us access we will keep your plugins updated and will only log in for updates and support reasons.

What are the options for BrightArrow access to our PowerSchool?

  1. No access at all. We do not demand access to PowerSchool. Allowing us to log in should be something you are comfortable with. If you are not comfortable with us logging in at all then we will work with you using a screen share service. This does take a considerable amount longer to get tasks completed, but your comfort is more important.
  2. Permanent Access. This means that you create a PowerSchool account for us to use and we use it as needed to get things done for you. This can be installation and setup, updates, or support. This account stays on.
  3. Temporary Access: Similar to Permanent Access in that we can log in to do install, update, and support. However when we are done you disable admin access by unchecking the "Sign in to Administrative Portion of PowerSchool" checkbox. When you need us again you go back in and check the box so we can log back in

If we decide to let you log in what do you need?

  1. The url of your PowerSchool server. Something like MyDistrict.powerschool.com
  2. The username you assigned us.
  3. The temporary password you assigned us.
    1. Our standard process is to immediately change this password

If you are a NC school we can get you our NCEdCloud information.

What group do you need to be in?

We are often asked which group to put us in. Group security changes server to server and we can't know your setup ahead of time so we default to saying group 9 or whatever your PowerSchool Admin group is.

If you know your group security and how it's set up you can put us in a group that gives us only what we need. The things we will need to be able to do are:

  • Install / Update plugins
  • Add an sFTP record
  • Edit data. This is for our settings page. When we do the initial setup we'll need to be able to write to our settings page, though we don't need to write to any student data if that's a concern. For support reasons it would be useful to be able to see certain student pages but only if a support question comes up and never would we need to edit a student page.
  • Create templates in Data Export Manager (DEM)
  • Schedule templates in DEM - many schools have never done this and may not have any roles set up yet that can schedule DEM exports. We can help you with that if that's the case since this is not group security but rather role security. For more information on granting DEM Scheduling rights read Enabling DEM Scheduling

What happens if another customization blocks you?

Sometimes old customizations can block part of our integration. Generally it's only one or two links and nothing critical. In these instances your options are:

  1. Live with the pieces being missing from the integration. In most cases it's just a missing link, nothing that would stop you from using the system in other ways
  2. Find and fix the issue yourself
  3. Allow BrightArrow to fix it for you. If you want we can remedy the situation and make sure you have copies of the customization in question as it was before and after any necessary changes. We have PowerSchool customization experts on staff to help any time you need it (sometimes the block comes from an old version of one of their customizations)
