Multi-day attendance letters

Current day attendance messages are about a student missing school or class today. But many/most schools also send messages after a student misses a certain number of days. Some even send a message after missing too many classes notifying the parents that the student has lost credit. If you send messages home to let schools know about a student missing too much school we can help automate that process for you. Because there are many ways to count multi-day attendance we have more questions than normal so that we can get you exactly what you want.

What we need for each school:

  1. School name/abbreviation
  2. Daily or Meeting attendance? Keep in mind that if teachers take the attendance it's meeting attendance even if it only occurs 1x/day. How PowerSchool stores daily attendance is different than how it stores meeting (teacher entered) attendance.
  3. What attendance code(s) should be used?
    1. These don't have to be the same code(s) you use for current day attendance and often include more codes
  4. Do tardies count towards the total? Some schools want 5 tardies to count as 1 absence. If you have some similar logic we need to know so we can work that in.
  5. Does each absent count as 1? Are you using a code to day conversion? Period to day conversion? 
  6. What are the counts that trigger a message? 5 / 10 / 15 absences? 8, 10, 15? Every 4th absence?
  7. Do you want to give the student's time to bring in a note?
    1. We can use the attendance date to send when that day's attendance brings them to the count
    2. 1 school day - Wait 1 in session school day for a note, then send
    3. 2 school days
    4. 3 school days
  8. What time do you want to send the message?
    1. If you're giving time for notes to come in before sending the message you'll also want to give time in the day for staff to enter any changes as well. 
  9. Who should receive the report after the messages are sent? When we automate these tasks its easy to let them go and forget about them. We highly recommend having the report emailed to at least 1 person so that they have a record of it should they need it. This  can be the attendance clerk, a generic attendance email, or even a distribution list you control so you can add/remove people as you see fit. These can be easily changed later on, we'll show you how.
