Using Email Templates

Text emails are fine but most of us are used to seeing nice looking visuals in our emails from different organizations. With HTML emails you can make your outgoing email look as visually pleasing as you’d like. Most of us don’t have time to spend creating this visual look each and every time we send a message, that’s where email templates come in.

How to find your email template

If you first need to create an email template, see here

  1. From your My Lists page, click on the name of the list you would like to send your message to. 
  2. Click the "Create Message" button. 
  3. Select your message types and name your message as you would with any message. Your template will apply only to the email portion of your message, but you can select the other message types as needed. Click "Next" to proceed. 
  4. Click the "Templates" button. 
  5. A new window will appear with all of the templates you have access to. If you have a lot of templates, you might want to use the Groups and Users dropdown menu to help narrow the results. 

How to load your template into your email message

  1. Once you have located your template in the template list, click on the name of the template you want to use. 
    1. If the "Replace actual contents" checkbox is checked, anything that you already wrote in your message will be overwritten when you load the template. 
    2. If the "Replace actual contents" checkbox is unchecked, your template will load below the message you already typed out. 

  2. Your template is now loaded to your email message. Make any adjustments to your design or verbiage, then proceed with sending your message by clicking "Next."
